Creating a Person Record from the Portal Page

A person can be created from the Portal Page.

  1. From the SmartSolve Portal Page, click the Home tab at the top of the window.
  2. In the Training Management section of the list, select Create Person.
    Result: The Person entry window is displayed.
  3. Enter information in the following fields:
Field Description

Code

The code is a unique field that identifies the person. Most customers populate this field with the actor’s first initial/last name or last name/first initial.

Logon User

If the person will be logging into the system, this is the logon ID used by the person to log into the application. Ensure the logon user entry exactly matches the user ID entered in the user account on your server. Passwords do not need to be set up as the application uses the password from the user's account on the server.

Enable Logon

Check this checkbox to allow the person to log into the application with a valid user ID.

First and Last Name, Middle Initial

Enter the first and last name of the person. This information will be used for searching.

Position

Zoom to select the position for this person. For additional information on configuration, see Positions.

Department

Zoom to select the department for the new person. This field is used for escalation and for restrict org unit security. It is also used to search for actors. For additional information on configuration, see Departments.

Manager

Zoom to select the manager for the person. This field is used for escalation and also for SmartTrain. It is used as a method to search for actors. Use the DEFAULT actor as the manager, if needed, until you add all actors or configure your actor list using your org chart. For additional information on configuration, see Organization.

Site

Enter or zoom to select the site at which the user will be located.

Hire Date

Zoom to select the date the person was hired.

Start Date

Zoom to select the date the person started the job.

Requires Manager Approval To Attend Training Session

Check this checkbox if the person is required to receive manager approval in order to attend training sessions.

Person Status

Click the drop down arrow and specify the person's status. If Active is selected, all roles attached to the position will transfer to the Person record and all requirements attached to those roles will activate (if applicable). Also, the person will now show up on the Needs Training List for any requirements that have transferred from roles under the position selected. If Inactive is selected, the person does not show up on the Needs Training List and no roles attached to the position will transfer to the Person record. These items will not transfer until later when the Person record is set to Active.

Activate Ad-hoc Position Role

If the person's status is set to Active, this option will be made available showing any ad hoc roles that have since been attached to the position. If checked, all roles will transfer to the Person record and will be activated automatically. If needed, any of these ad hoc roles can be deactivated from the Person record at a later date. If not checked, the ad hoc roles listed here will still transfer to the Person record, however, they will be listed in a Pending status and can either be deleted from the Person record or later Activated from the Role folder in this Person record.

E-mail Address

Enter the email address.

Telephone and Fax Information

Enter home and work telephone and fax numbers. Enter the person's cellphone number.

Description

Enter a description.

Address Info

Enter additional contact address information.

Organization

Zoom to select the person's organization.

  1. Click the Save button.
    Result: The person has been added.
